CallBix for Google Sheets

Turn any lead sheet into calls: send rows to your team's phones, fill call lists, call new rows automatically, and see every result next to the lead.

What you get

A CallBix menu in your sheet, with a sidebar for each job:

Install

  1. In CallBix, open Integrations → Google Sheets and press Create key. Copy it — it's shown once.
  2. Open your sheet and choose Extensions → Apps Script. Select everything in Code.gs, paste the CallBix script over it, and press Save (the disk icon).
  3. Reload the sheet. A CallBix menu appears next to Help. Choose CallBix → Settings.
  4. Google asks for permission the first time. Because you added the script yourself, it says “Google hasn't verified this app”: choose Advanced → Go to CallBix (unsafe), then Allow. The script only connects to CallBix.
  5. Paste the key and press Connect.

Each sheet needs the script once. Making a copy of a sheet (File → Make a copy) copies the script too — a quick way to start new lead sheets.

Columns

The add-on guesses your columns from the header row — Phone, Mobile, Name, Company, Notes, Owner and similar names. Check or change them under Settings → Columns; each tab of the spreadsheet remembers its own.

The add-on adds its own columns at the right: CallBix (what happened to the row) and, for results, Calls, Last call, Last outcome, Last notes, Last agent and Follow-up.

Call now

Select rows (click the row numbers; hold Shift or Ctrl for more) and choose CallBix → Call selected rows now. Pick who calls:

Up to 5,000 rows at a time. Each agent's phone shows a Call now alert; how fast they called is tracked as speed to lead in Reports.

Call lists

CallBix → Add selected rows to a call list puts the rows in an existing list, or creates a new one worked by a team or a person. Numbers already in the list are skipped. Leads are shared between the list's agents and worked with the power dialer. Call lists are part of the Growth plan and above.

Results in the sheet

CallBix → Update call results looks up every number (selected rows, or the whole sheet) and writes the number of calls, the last call, its outcome, notes and agent, and any open follow-up. A number nobody has called yet shows Waiting for a call when a request is open.

Call log

CallBix → Import call log copies your team's calls for a period into a sheet called CallBix calls: date and time, agent, direction, number, contact, company, duration, outcome, notes, follow-up and whether it was recorded. Run it again any time — calls already there are updated, new ones added. Importing the call log needs a plan with exports (Growth and above).

Automatic

Under CallBix → Call new rows automatically, on the tab that receives new leads:

  • Call new rows automatically — every 5 minutes, rows with a phone and an empty CallBix column go to your team (as Call now alerts or into a call list). Rows already in the sheet when you switch it on are left alone.
  • Update call results every hour — keeps the result columns current.
  • Import the call log every hour — keeps the CallBix calls sheet current.

These run under the Google account of the person who switched them on, even when the sheet is closed. Works with Google Forms responses, and with rows added by Zapier, Make or Facebook lead exports.

Good to know

  • The key is stored with the spreadsheet. Anyone who can edit the sheet's script can see it, so create a key just for Google Sheets, and revoke it in CallBix if the sheet is shared more widely than you'd like.
  • Google limits how long a script runs (6 minutes). Very large call-log imports stop part-way and tell you to run them again — they continue from where they stopped.
  • Updating the add-on: paste the new script over the old one in Apps Script and save. Your settings and columns stay.

Questions

Do I need a Google Workspace account?
No. It works with any Google account, free Gmail included, in any sheet you can edit.
Who sees the API key?
It's stored with the sheet, so anyone who can edit the sheet's script can find it. Use a key just for this sheet; you can revoke it in CallBix any time.
Can it call rows that came from Google Forms?
Yes. Turn on “Call new rows automatically” on the form's response sheet: new responses go to your team within about five minutes.
What happens to rows without a phone number?
They're skipped and marked “Skipped: no phone number” in the CallBix column, so you can fix them.
